Hey everybody! Read my other blog entry first! In that blog entry, I mention a MASSIVE party that I'd like to throw. This is the blog entry where we talk about that party.

So as you can see, we'll have a lot to celebrate, and I want to make this party appropriately huge:

» Pre-release, high-definition screenings of full episodes of a brand-new show.
» Music. (Hopefully live. Of course.)
» Snacks and beverages.
» Games.

Now, how do you come in? We need your help!
I need suggestions! When do we have this thing?! What venue should we choose?!
As for a date, we should choose something mid- or late-May. After everybody's out of school, but before the calendar Summer begins. Ideas?
As for a venue, this place needs to be pretty big. Last party we threw, we completely filled the Smoothie Brews coffee shop. This time I'm hoping for 200 people. We need a place that will work for live comedy & music, and comfortably screening at least 20 minutes of video and animation, while still allowing people to mingle and play games before and after the show. Ideas?
If we have to pay to get into a perfect venue, that's okay, but it may require a small entrance fee from attendees. ($5? $10?)
If we can get enough ad revenue to keep the site going through the end of 2010, would it make sense to throw another one of these parties next year? Maybe even turn it into an annual event?
Thoughts? Ideas? Comments or criticism? Discuss below!
UPDATE February 2nd, 2010:
I have contacted a number of different venues from the columbus convention center all the way down to various theaters. I've had some good conversations and gotten some great ideas. The problem with trying to coordinate an event like this is the late date. Usually something like this would probably be planned farther in advance. Which probably just means that the whole thing will end up costing more...
Everybody pray for us that we find a good space and that we can negotiate reasonable costs! We can always fall back to doing it at a church somewhere, but I'd definitely rather make a much less amateur showing.
At this point, any last-minute recommendations for a good venue would be much appreciated. ![]()
UPDATE February 22nd, 2010:
At this point I've managed to narrow my focus down to the Marcus theater in Pickerington. It's not a done deal yet, but I have had some very promising conversations with them and I am scheduled to go out there and meet with the manager on Saturday.
It also looks like we're shooting for a Sunday late-afternoon for our event. Probably either the 23rd or the 30th of May. (Friday and Saturday are both problematic because of the big summer movies that are coming out in May.)
Like I said, it's not a done deal, but we're rapidly moving in that direction. Thoughts?

By the way, for everybody not in Ohio!
This event will probably be in or around Columbus, Ohio. However, if you can show an out-of-state driver's license or passport, we'll let you in for free.
Of course that's no big deal if we decide to cover the whole thing ourselves and let everybody in for free, but still… Anything we can do to encourage the out of state crowd.

Well...
Of course a church would be possible. It's very cost effective. But there are two possible downsides:
1) No screening room, no stadium seating. (Also, significantly, no high definition projectors.) This could be a problem for both our live comedy and the screenings of our new episodes.
2) If we hold the event at a church, mightn't that scare some people away?
Thoughts? Am I wrong?
What about a theater? I know most theaters will rent auditoriums for various types of events. Does anybody know of a theater that has some decent, medium-sized auditoriums and has a party room? I seem to remember seeing at least one theater that fits the bill, but I'm blanking at the moment.
Of course renting an entire auditorium in a nice theater for 5+ hours some Friday or Saturday evening is bound to cost some money. If that's what we want to do though, I think we might be able to do it…

Would that be Marcus Cinema? Even if that wasn't what you were thinking, I'm pretty sure that they do rent theatres. They're more on the "large side of medium" and are pretty centrally located.

What about doing the Live Malex Minute and the screening at a theater on a Friday or Saturday afternoon, and following it immediately with an "after party" at a different venue?

Response to the Update:
If you can't find any other venues, Vineyard Columbus can probably coordinate something for you. Since it's a church, the space "rental" might also be free (although I can't promise) and there is usually a more open schedule than other venues, especially on a weekday evening (though that may not work well for people's schedules.)
The church is very large (main auditorium seats roughly 2000 people, but there are smaller auditoriums as well). It also has a very good A/V setup and large projection screens.
Just another possible option, but I mentioned this to my mom and she can tell you the people to contact if you're interested

I imagine that depends on the venue. For example, a theater is definitely going to insist on supplying any concessions. If we had it somewhere like a church I imagine we'd just buy a few dozen 2-liter bottles of soda - no sense charging people for drinks.
I'm not sure on the entrance fees. We would need to judge how many people would be willing to pay and how much they would be willing to pay. If we throw an event like this, it is very important that the venue be full, otherwise people will feel like it's not a “big deal”, whereas if the venue is packed, attendees will feel like they're a part of something special. (Which they will be, so that's good.)
So, all that to say, a full house is worth every penny to me even if I have to finance the whole thing out-of-pocket.

Mabye I will win something like the last time we had one of these things. I might be able to come if I know where, when, and how much. I need those times so I can turn the date into my work to be able to come. I also was going to offer my church as a possible location to have this, but we do not have High Def. Projection Equipment.

I am in active negotiations with venue(s) at this time. It would help me immensely if everybody posted here when their school lets out for summer break. (When does the co-op semester end? When do college finals end? Etc.?)
I may not be able to get a weekend afternoon/evening slot, in which case it becomes lots more important that people are no longer in school.

Last days.
Tuesday school's last scheduled day is April 10. Of course, that was before we had 2 weeks canceled due to snow.

Very good! Everybody, I need more school ending dates! Any highschoolers around care to comment on their school? So far, I have some time after May 7th.
Also, I have another possibility to toss around. If I focus on putting together the event itself, that may leave us with no official afterparty. (To clarify, the event portion will probably just be the show, with no mingling, games, or snacks.)
So, would anybody here care to volunteer (with appropriate permission, of course) to put together a semi-official afterparty? It would need to be large enough to accommodate a little under 300 people, and I would be more than happy to provide any brainstorming power to help get it off the ground.

My exams end on the 6th, and I'm fairly sure that Senior Exams at MCS finish by the 18th or so.

My church might be available, but it's pretty far from where the Official Party will probably be located (I assume you're looking at places predominantly on the East Side?) and I need an official date to reserve the church. It turns out their schedules are a lot busier than I previously thought.

My church may be open
I might be able to reserve my church for the after party. Two things I would need is the time and date but if we plan it far enough ahead I am sure I could get it. The only day for my church that wont work is Wensdays around 6 pm on. The choir, band and other stuff goes on that day. This is where it is located. I think it might be centrole for a lot of poeple. Let me know what you think. Also, if it gets chosen, can I get someone to help me plan/host it.

It looks like your church is pretty close to my current best candidate for the event venue. Can your church accommodate 300 or so people? Will you be able to get the appropriate permission?
I'm hoping to have a date and time nailed down soon, so that will surely help the discussion.
I'm sure you'll get plenty of brainstorming/party ideas from the people here, plus whatever support you'd need.
I'm not sure there's really any context where a 300 person party could be considered “intimate” per se… I'm not sure looking all professional is the right approach, but I'll defer to whoever steps up to plan the party. (I've got more than enough on my plate planning the event.)

My measly two cents
I personally don't really care to hear from Snuffy, Linus, Malex and Mara while they're all dressed up. I just don't think it suits their characters... I'm thinking this is more of the set-up as, say, a rock band concert would have. As far as I know, no one dresses up for a rock band concert.
I also think that people are a lot more likely to let loose and be a little less...stiff, if you will, if they're not dressed up. I personally find it 100% easier to laugh my head off if I'm wearing jeans and a t-shirt
Plus it creates more of a family-ish atmosphere. Dunno what exactly you're going for, though...

Update
The mulit purpose room, where this would be held, hold legally over 700 people for asembly and a little over 300 for dinning. So space is not an issue. Also sence I run the sound for this church if we need any mics or the speakers I can get that set up and stuff.

More Thoughts
Hehe, no. As we'll be inviting members of the general public, there would be no point in a dress code. When SangMing was talking about being "all professional" she was talking about the show we put on at the event. I am hoping and praying to make the event itself as professional and impressive as possible. (We need to knock the socks off about 300 people!)
But attendees will not be expected to conform to any particular dress code, aside from (of course) wearing clothes.
Wow! That's great! Now, is it possible to section off about half of that room? If the room is too big for all the people who arrive, it will make the party seem smaller than it actually is. (Weird, huh?) Not a deal-breaker, just something to think about.
I think speakers would be nice, because we'd want to have music playing. (right?) We'd also probably want tables and chairs, (maybe games?), and lots and lots of soda and snacks.
I could possibly also pull a favor and bring in a DJ or two, if people are interested.
Of course, these are all suggestions. As I said, my involvement in pulling together the afterparty needs to be limited as my hands will be completely full with the event itself.
Also, something to keep in mind: If there's going to be an afterparty right after the event, and if there's going to be a lot of setup for it, somebody may need to miss the actual event in order to make sure the afterparty goes off without a hitch.
However, we will be filming all of the important parts of the event, and anybody who volunteers and works to make this event a success will receive a special “Thank You” DVD of the event, so they won't miss anything.

That should not be a problem. I was asking maby not to have it right after the event but maby after dinner sometime on that day that way no one gets left out of the actual event. If not it is no problem, I am there from like 8 am on usually for my tech duties. If whoever is helping me with the after party would like to come in right after church to help set up then we should not miss the actual event.

I don't think I can get away with telling 300 attendees about an afterparty and then asking them to wait around for a couple of hours while we go set it up. Plus, if we do bring in, say, a DJ to mix at the afterparty, that final hour (or so) before the afterparty begins will be full of last-minute setup and checks that will all be critical to pulling it off.
So, no matter how we slice it, I think people setting up the afterparty will miss part of the event, and people tearing down the event will miss part of the afterparty.
I expect everybody reading this will really want to attend both the event and the afterparty. But you've all been Malex Medianites for a long time, which puts you in a special tier – an inner circle. That inner circle means that I have no qualms asking you to help me do something amazing. Even if it means not always getting a front-row seat.
Because back-stage is always more exciting.

Well that should not be a problem for me. Once you get the date and time let me know and I will turn those into my church so we can have to room that day. Right now both those dates are open but that could change quickly. Also I am really not good at planing this sort of thing so if someone who knows my skype acount could get in contact with me starting in about 3 or 4 weeks I would be really thankful. I will be busy with school these next few weeks so I wont have time to talk until then.

Not a bad idea, but we've got to get the event venue nailed down before we can even try to claim the afterparty venue. And we need an afterparty before we can invite a DJ.
I have to say, I haven't been very impressed with the event venue as far as promptness in getting back to me. Negotiations are going very slowly.
